Note for Tented Events
Tented events may occur in the Novitiate Garden
or Academy Green. A site tour with St. Ann’s Academy staff
early in the planning process is recommended.
FACILITIES FOR TENTS
Novitiate Garden is suitable for one 30’
x 30’ tent accommodating 70 for a sit-down dinner plus up
to two 10’ x 10’ tents (bar / musicians), or a combination
of smaller tents. Stand up functions of up to 150 can also be planned
for this venue.
Academy Green is a large space
which can accommodate one 60’ x 120’tent, accommodating
350 for a sit down banquet dinner with stage, or 500 in a stand
up reception format. Additional tents are often used to provide
a kitchen service area and to provide washrooms. A series of smaller
tents can be used for a festival or trade show.
NOTES TO EVENT PLANNERS
Event Planning & Supervision: Event plans should
include guest services timelines (set up, food service, bar service,
entertainment and clean up) which fit with our requirement of site
access of no more than 7 a.m. to 10 p.m. One hour at either end
of an event is recommended for set-up and take-down; additional
time or days for more elaborate receptions or events may need to
be negotiated.
A designated on-site staff person must represent
the renter (whether your company or your client) during set up,
the event and clean up. This person must be authorized and prepared
to be responsible for the event, all of your staff, guests and sub-contractors.
Rental Tents: Typical tents used
at St. Ann’s Academy are white vinyl with aluminum poles for
flexibility on uneven ground surfaces. Walls (solid or with clear
vinyl windows) and heaters are options which are encouraged in Victoria’s
changeable climate. Please refer to tent-rentals in the yellow pages
for local tent rental suppliers.
Access time: Please note that
access to the site is limited to the time booked by the renter.
Under no circumstances will access to the site be allowed before
7 a.m. or after 10 p.m. As there are often events booked back-to-back,
access to the site before the booked time (or departure after the
booked time) will not be permitted. Early arrival or late departure
by any contracted personnel may result in additional financial charges
to the renter (see Interpretive Centre Additional Fees Policy).
Parking and Traffic Flow: Limited
parking may be available. The Humboldt Gate entrance is not used
for truck traffic. Trucks should enter the property off of Blanshard
Street. Trucks are not allowed on the grass, or on the curved portion
of the driveway.
